General use of the space

The Bump Policy Experience Space is a 400m², two-floor venue on Place du Luxembourg in Brussels, operated by the creative consultancy Bump. It is designed specifically for immersive, week-long policy pop-up experiences and is not available as a traditional venue rental. All events are delivered by Bump as part of an end-to-end service.

Each week is a curated programme blending structured sessions (like panels or fireside chats) with informal formats (coffee networking, stakeholder meetings, content capture). The experience is co-designed with you to build momentum, visibility, and trust around your policy goals and help build and nurture your policy micro-community.

The Bump Policy Experience Space is available for a limited number of week-long policy pop-up experiences each year. We typically activate the space 16 weeks per calendar year, aligned with the Brussels policy calendar. Spring and autumn are the most in-demand periods, and availability during these seasons is often booked 4–6 months in advance. To secure your preferred timing, we strongly recommend early engagement.

The space is not available for one-day or half-day bookings unless you are a retained client of Bump. Our offer is built around high-impact, week-long experiences that unfold over time and create momentum through sustained visibility. For non-retained clients, only full-week activations are available.

Yes, but only within strict limits. We apply the following rule: Registration cap = event capacity + 20%. This formula reflects our space's typically low no-show rate while preserving comfort, safety and experience quality. Because clients and their partners often manage the registration process directly, it is essential that this cap is respected.
Capacity and format
Contract conditions

A non-refundable deposit equal to 50% of the base package cost is due at contract signing to reserve your week. Until this payment is received, the week remains available to other interested parties. A 25% invoice will be due 30 days before the week's activities commence. The remaining 25% will be invoiced at the end of your week with 30 day payment terms.

Cancellation greater than 45 days before the activation week: 50% of the contracted amount (base package plus any contracted extras) is due

Yes. If the event is cancelled due to circumstances beyond either party's control (e.g. natural disaster, government restrictions), Bump will work with you to reschedule at no additional cost. If rescheduling is not possible, a partial refund may be arranged depending on incurred costs.

Yes. Proof of liability insurance is required no later than two weeks before the first day of your activation.

Bump will only sign a contract with you, the end client. We welcome agency collaborations when we, your agency, and our joint client work as one team. Bump works directly with the end client and requires an active client presence throughout the preparation and experience.
Equipment and infrastructure

Yes. The venue is equipped with:
Wireless and handheld microphones
A 100" screen on the first floor, a 5mx2m touchscreen on the ground floor
Presentation laptops and slide changers
Stage lighting and multi zone sound system
Multi-cam recording of all sessions as well as photography, are included in the base package.
Livestreaming can be added for an extra cost.

No. All videography is managed by Bump to ensure consistency, integration, and quality. We can collaborate closely with your team to align on content strategy.

Yes. We offer a wide variety of furniture and event setups, including lounge seating, café tables, high stools, and flexible stage layouts. Custom configurations of our existing furniture are part of our base package.

Yes, with full on-site support:
Ground floor access via 100cm-wide ramped entrance
First floor access via lift (entrance via side door, guided by Bump concierge)
An on-site accessibility concierge is assigned for the duration of the event when we have been notified at least one week in advance
Catering

Yes. Fixed-menu catering for lunches and evening receptions is included, as well as fruit, snacks, and barista-made coffee throughout the day.

No. Catering is coordinated exclusively by Bump using pre-vetted suppliers to ensure quality and alignment with the venue's flow and infrastructure.

No, unless specifically agreed to in writing. Supplementary drinks or custom items can be arranged through our partners.

Yes. We can accommodate most dietary needs with prior notice.
FAQs for agency collaborations

Only agencies who have signed a Memorandum of Understanding with Bump may collaborate on activations in the Bump Policy Experience Space. This agreement sets out a clear division of responsibilities, a shared code of conduct, and the commercial terms of the collaboration. No, we do not offer traditional venue hire. The Bump Policy Experience Space is the physical component of a complete, end-to-end service delivered by Bump. All production, design, AV, catering, photography, videography, and on-site staffing are managed exclusively by us.

No. All contracts are signed directly with the end client. We do not contract with agencies or intermediaries. Bump and the agency operate as a joint client-facing team throughout preparation, delivery, and post-activation. The client must be present and reachable at every stage; they cannot be represented solely by the agency.

No. Bump does not participate in competitive pitches or produce speculative creative work, preliminary visualisations, or bespoke design concepts before a contract is signed. If your client would benefit from a concrete sense of what an activation could look like, we are happy to welcome you both to the space for a tour and strategic conversation. Alternatively, our Idea Sprint, a standalone paid engagement priced at €7,500, results in a strategic concept and visualisation with no obligation to proceed.

Bump delivers everything inside the space. That leaves meaningful room for an agency to own and monetise the surrounding work: strategy and advocacy framing, agenda development, speaker management, invitation and registration handling, pre- and post-event communications, leadership positioning, and results reporting. Agencies who collaborate with us well typically integrate the activation into a broader client mandate rather than treating it as a standalone event.

Agencies working with Bump commit to a shared set of principles covering professionalism, deadline discipline, respect for defined roles, and direct communication. This is detailed in the Memorandum of Understanding.
Communications and visuals

Yes. Please always refer to the venue by its full name: The Bump Policy Experience Space. Both Place du Luxembourg 26, 1050 Brussels and Rue d'Arlon 26, 1050 Brussels are valid addresses. For deliveries, please use: Rue d'Arlon 26, 1050 Brussels.

We advise against using posters or roll-up banners in the space. Our team will design custom panels and signage to fit your brand. Minimal use of additional signage is permitted if it does not obstruct planned layouts or movement flows.

No. All branding and visual design is handled by Bump to ensure integration with the space and guest experience. Client input is of course essential as part of the collaborative process.
On-site services

Yes. Cleaning is provided the night before a week of events begins, as well as every evening after programming has concluded.

Yes. Bump provides a staffed check-in desk as part of the base package. Badge design, printing and on-site printing are available at additional cost.

No. Cloakroom service is available as an add-on and delivered by trained Bump staff. Guests may also be directed to hang their coats themselves in our cloakroom area on the -1 level.

Yes. Our venue manager and studio lead are present throughout the activation, including during setup, live sessions, and breakdown.
Security and VIP access

No. Security staff are not included in the base package, but Bump can provide them as an add-on. We require seven days notice before an event to ensure we can have uniformed security personnel on site.

The venue is equipped with a reinforced main door and 24/7 recorded surveillance. After-hours access is restricted to authorised personnel only.

No formal VIP entrance exists, but side access and private arrival coordination can be arranged.

Drop-off is possible at the front entrance. There is no on-site parking, but we can coordinate nearby reserved arrival zones for VIP guests. For an additional fee paid to the commune, we can arrange for the parking spots directly in front of the building to be reserved.
